The short answer
If reps take call notes with ChatGPT Meetings, what evidence survives a customer dispute or a deal review?
Decision rule
Turn it on after consent, admin settings, and an evidence rule are written down. Treat the meeting page as a rep-controlled summary and log the facts that matter in your system of record.
Evidence
- Meetings plugin is beta on ChatGPT macOS for all Pro and Business plans; no bot joins the call [Verified primary].
- Audio is deleted from the Mac and OpenAI servers once notes are ready and cannot be replayed [Verified primary].
- Shared recipients can access notes; the transcript is excluded [Verified primary].
Operator action
Decide the two Business admin settings, script consent, log who agreed, review notes before sharing, and write deal facts into your system of record and the confirmed follow-up email.
Last reviewed
A rep can now take AI notes on a customer call with no bot in the participant list. The app shows its consent reminder to the rep alone. When the notes are ready, the audio is gone. What remains is a summary on a page the rep controls.
That is a clean experience for the rep. It also changes what your team can prove six months later, when a customer says "you promised that discount" or a deal review asks what the buyer actually said.

OpenAI added a Meetings plugin to ChatGPT in its September 29, 2026 release notes [Verified primary]. Per the Help Center article "The Meetings plugin in ChatGPT":
- Where: a plugin in the ChatGPT desktop app on macOS, in beta, for all Pro plans and all Business plans. iOS, Android, and Windows support is "coming soon" [Verified primary].
- Enterprise: a limited alpha program; the release notes say Enterprise is "coming soon" [Verified primary].
- How it listens: microphone and system audio from the Mac, for online calls or in-person conversations, "without a bot joining the call" [Verified primary].
- Consent: users must tell everyone and get consent before starting. The consent reminder is visible to the user only. It does not notify other participants or collect consent for them [Verified primary].
- What it writes: the transcript, the rep's own notes, and context from connected apps feed a personalized summary and suggested action items on one meeting page in ChatGPT Space [Verified primary].
- Sharing: meeting pages are private by default. People the rep shares a page with can access the notes, and the transcript is excluded [Verified primary].
- Audio: streamed to OpenAI for processing, then deleted from the Mac and OpenAI's servers once the notes are ready, and it "can't be replayed." Audio may stay on the Mac temporarily if the Mac is offline or processing is incomplete [Verified primary].
- Business admin gate: both ChatGPT Space and the Meetings plugin must be enabled for the workspace [Verified primary].
- Auto-stop: note-taking stops when the laptop lid closes, after an extended period with no audio, or at four hours [Verified primary].

- Captured: Mic and system audio from the rep's Mac (Help Center).
- Kept: Meeting page in Space: summary, action items, rep's notes; private by default (Help Center).
- Shared: Notes on the page, with people the rep picks; transcript excluded (Help Center).
- Deleted: Audio, from Mac and OpenAI servers, once notes are ready (Help Center; Sep 29 release notes).
Space pages are editable documents, and a page's creator or owner can delete it [Verified primary, Space help article]. So the surviving record is an AI summary that the rep can edit, share selectively, or remove.
The Proof Gap
What OpenAI's docs show: no bot, rep-only consent reminder, audio deletion after processing, notes-only sharing, and a two-setting admin gate for Business.
What a revenue leader still needs, and the docs leave open as of Oct 7, 2026:
- How long the transcript is kept for the page owner, and whether the owner can view or export it.
- Whether meeting pages keep an edit history.
- What happens to a departed rep's meeting pages. OpenAI's workspace-removal retention article covers chats, files, and canvas documents in Business; it does not list Space pages.
- Admin visibility or export of meeting pages for a dispute or legal hold.
- Accuracy. OpenAI tells users to review important details before relying on or sharing the notes [Verified primary].
Until those answers are published, treat a meeting page as the rep's account of the call.
Before reps turn this on

- Decide the admin settings. On Business, Meetings appears only when ChatGPT Space and the Meetings plugin are both enabled. Make that an explicit decision, with an owner, before the beta spreads by word of mouth.
- Script consent. The buyer sees no bot and no in-app notice. Give reps one sentence to say at the start of every call, and require a yes before they click Take notes. Recording-consent rules vary by location; confirm yours with counsel.
- Log the consent. Record who agreed, when, and how (spoken, chat, or email) in the deal record.
- Set a review step. Reps check the summary against their own notes before sharing it or starting an action item. Suggested actions can draft emails or update plans, so a wrong summary can travel fast.
- Write the evidence rule. Prices, discounts, dates, and commitments go into your system of record and the customer follow-up email, confirmed by the buyer. Use the meeting page as a memory aid and the confirmed follow-up as the evidence.
- Set sharing defaults. Share pages with named people or teams, and remind reps that anything written onto a page is visible to everyone with access.

Eight-Seat Read
- CEO: Ask one question: if a customer disputes a call, what record do we hold? Get the answer in writing.
- CFO: Discounts and payment terms live in the contract and the follow-up email. With the audio deleted, a meeting page is a weak record in a billing dispute.
- CRO: Make consent and the follow-up email part of call hygiene before you encourage adoption.
- CMO: Customer quotes for case studies need written approval. AI summaries are paraphrase.
- RevOps: Own the two admin settings, the consent field, and the rule for what gets copied into the deal record.
- Sales leader: In deal reviews, ask for the buyer's own words from the confirmed follow-up. Treat the summary as the rep's prep.
- CS leader: Handoffs need commitments written down and confirmed. A private page the account team never sees helps nobody.
- Enablement: Teach the consent line, the review step, and how to share a page with the right team.
Why we might be wrong
- Deleting audio reduces risk. Fewer recordings means less sensitive data to leak, subpoena, or mishandle, and some legal teams will prefer it.
- No-bot capture may raise note quality. Buyers often speak more freely without a visible recorder, as long as they have consented.
- OpenAI may publish transcript retention, edit history, and admin export soon. This is a beta, and Enterprise is still in alpha.
- Many teams already treat the follow-up email as the record. For them, this changes very little.
