Multi-thread agent on at-risk deals (L4)
Agent reads CRM + Gong, flags single-threaded deals, drafts exec emails to add stakeholders. Human sends.
The steps
- 01
Define risk logic and data triggers
In this phase, you are setting the logical boundaries for what the AI considers an "at-risk" deal due to lack of multi-threading. You will need to access your CRM (Salesforce or HubSpot) and your Revenue Intelligence tool (Gong or Chorus). • Go to your CRM Admin panel and ensure the 'Last Activity Date' and 'Contact Roles' are accurately being synced from your email and meeting tracking tools. • Define the "Single-Threaded" threshold: A common standard is "fewer than 3 unique contacts with recorded activity in the last 21 days for deals in Stage 2 or higher." • Identify the target stakeholders: You want to target "Economic Buyers" or "Executive Sponsors" who are missing from the deal map. • Owner: RevOps Manager. • Time: 3 hours. • Pitfall: Failing to filter out small "Transactional" deals that don't require multi-threading. • Definition of Done: A CRM report or SQL query that lists all Open Deals >$20k with <3 active contacts. • QA: Verify 5 random deals from the list manually to ensure they are indeed single-threaded.
- 02
Extract context via AI agent analysis
Now, you must configure the AI Agent (via Zapier Central, Clay, or a custom LLM prompt) to ingest the context of these deals. The agent needs to 'read' the room by looking at the last 3-5 meeting transcripts. • Connect your Gong/Chorus API to your automation platform. • Set up a prompt for the Agent: "Analyze the meeting transcripts for [Deal Name]. Identify the main pain points discussed by the current contact [Contact Name]. Determine which executive persona (e.g., CFO, CTO, VP of Sales) would care most about this pain point but is not yet involved." • The agent should extract 'Value Hooks',specific phrases or goals mentioned by the champion that would resonate with a higher-level executive. • Owner: Sales Enablement or AI Ops. • Time: 4 hours. • Pitfall: The AI might hallucinate pain points if the transcript quality is poor; always include a fallback to the CRM 'Discovery Notes' field. • Definition of Done: The agent can produce a 3-sentence summary of 'Why we need to talk to the VP of [Department]' for any given deal.
- 03
Generate executive peer-to-peer drafts
The AI will now draft a 'Peer-to-Peer' outreach email. This isn't a standard cold email; it should be written as if your Sales Leader (VP or Director) is reaching out to their counterpart at the prospect company. • Setup the prompt: "Draft a 100-word email from [Our VP Name] to [Prospect Executive Name]. Mention that we are working with [Current Champion] on [Project Name]. Reference the specific goal of [Constraint/Pain Point] discovered in the Gong notes. Ask for a brief 15-minute sync to ensure we are aligned with their strategic priorities." • Tone Settings: Professional, brief, and helpful. Avoid salesy language like 'circling back' or 'checking in.' • Store these drafts in a custom field in the CRM labeled 'AI Drafted Executive Outreach' or push them into a dedicated Slack channel for the executive. • Owner: AE or Sales Leader. • Time: 2 hours to calibrate the prompt. • Pitfall: Sounding too formal or robotic. Use a 'Few-Shot' prompting technique by providing 5 examples of your VP's actual writing style. • Definition of Done: Every flagged deal has a custom-tailored executive email sitting in the 'Draft' state.
- 04
Execute human-in-the-loop review
Because these emails are going to high-level executives, a human must perform a final quality check. Do not automate the 'Send' button yet. • Create a weekly 20-minute 'Multi-threading Review' on the AE and Sales Leader’s calendar. • Review the draft against the actual Gong recording or CRM notes. • Check for 'Hallucinations': Did the AI misidentify the CFO's name? Did it misunderstand the timeline? • Tools: Outreach.io or Salesloft 'Draft' folders. • Owner: Account Executive (for accuracy) and Sales Leader (for tone). • Time: 5 minutes per deal. • Pitfall: AEs skipping the review and sending inaccurate info, which ruins brand credibility. • Definition of Done: The AE or Leader approves the draft and clicks 'Send' or schedules it. • QA: Verify that the 'From' address is the Executive, not the AI agent.
- 05
Track engagement and impact KPIs
To prove the value of this agent, you must measure the conversion of single-threaded deals to multi-threaded ones and their eventual win rate. • Build a dashboard in your CRM or BI tool (Tableau/Looker). • Track 'Contact Count Growth': The number of contacts added to the deal after the AI outreach was sent. • Track 'Executive Engagement': Did the target executive reply or attend a subsequent meeting? • Formula: (Deals Won with AI Multi-threading) vs (Deals Won without). • Owner: RevOps. • Time: 2 hours for setup; ongoing weekly review. • Pitfall: Attributing a win solely to the email. Ensure you are also tracking if the new stakeholders actually stayed active in the deal. • Definition of Done: A monthly report showing a direct correlation between AI-driven multi-threading and an increase in average stakeholders per deal. • QA: Ensure the 'Date Added' for new contacts is after the AI email send date to confirm causal link.
