    Map the qualification script

    Tool: Manual

    Write the EXACT conversation: 5 questions max, each with 2,3 branches. Example: greet, confirm they filled the form, ask company size, ask use case, ask timeline, ask budget tier. Branches: if SMB → route to self-serve; if enterprise → book AE; if competitor research → polite end. Voice agents fail when they're asked to wing it. The script IS the product. Owner: VP Sales + RevOps. Time: 1 week to iterate. DoD: a flowchart + script doc reviewed by 2 AEs who say "yes, I'd be happy taking calls qualified this way."

    Build the agent in Vapi or Bland

    Tool: Vapi

    Vapi = developer-first, more flexible, $0.05/min. Bland = no-code, faster setup, $0.09/min. For first deployment, Bland; for scale + custom routing, Vapi. Voice tuning: pick a clearly-AI voice (don't deepfake), enable explicit "This is an AI assistant calling on behalf of {company}" disclosure. Required in most jurisdictions; also reduces post-call complaints by ~70%. Owner: RevOps + AI eng. Pitfall: trying to sound human, it lands in the uncanny valley and customers feel deceived. DoD: agent successfully runs a test call end-to-end with all branches.

    Wire form → call trigger via webhook

    On demo-form submit, HubSpot webhook fires to Vapi/Bland with prospect phone + form context. Agent dials within 60 seconds. If no answer, retry once in 2 min, then once in 1 hour, then route to a human SDR. Owner: RevOps. Pitfall: dialing during off-hours, add timezone-aware logic and only call 8am,6pm local.     On the call, the agent uses Calendly's API to read AE availability in real time, offers 3 slots, books on the right calendar, and sends the meeting confirmation email/SMS during the call. Logs full transcript + summary into HubSpot deal record. Owner: RevOps + Calendly admin. DoD: AE sees the meeting on their calendar with full call transcript attached before the prospect hangs up.

    Audit every call weekly for the first month

    Tool: Manual

    Listen to 20 random calls per week. Score: did the agent follow the script, did it correctly classify, did it offer the right next step. Adjust the script and prompt weekly. Voice agents drift, hold them to a rubric or quality decays silently. Owner: VP Sales + RevOps. DoD: documented quality scorecard >85% for 2 consecutive weeks before reducing audit cadence.
